This Privacy Policy explains how we collect, use, and disclose information when you use our websites and products.

1) Scope

This Privacy Policy applies to:
  • Intervool’s marketing website(s) (the “Sites”), and
  • Intervool’s application/platform and related services (the “Services”).
It does not apply to third-party websites or services you access through integrations or links (those are governed by the third party’s policies).

2) B2B roles: Customer vs End Users

Intervool is a B2B product. If you use Intervool through a company/team workspace:
  • The Customer (your organization) controls the Workspace and can configure settings, permissions, and features.
  • Intervool processes information (including Customer Content) to provide the Services, consistent with the Customer’s instructions (for example, Workspace settings and feature usage).
If you are an End User in someone else’s Workspace and want to exercise privacy rights related to Workspace data, you may need to contact your Workspace admin.

3) Information we collect

We collect information in three ways: (A) you provide it, (B) we collect it automatically, and (C) we receive it from third parties.Intervool is a B2B product. A) Information you provide
  • Account information: name, email, organization/team name, authentication credentials (stored in hashed/encrypted form as applicable), job title (optional).
  • Workspace and collaboration information: invitations, team member names/emails, permissions, comments, and in-app activity.
  • Customer Content: content you upload, submit, or create in the Services, such as notes, research, datasets, lists of companies/people, transcripts, links, prompts, and files. Customer Content may include personal information about you or third parties.
  • Support communications: messages you send us (emails, support requests, bug reports).
B) Information collected automatically
  • Usage data: features used, pages/screens viewed, interactions, clicks, and actions taken in the Sites/Services.
  • Device and log data: IP address, browser type, device type, operating system, timestamps, and crash/performance logs. We may infer approximate location from IP.
  • Cookies and similar technologies: described in Section 8.
C) Information from third parties
  • Authentication providers (if enabled): basic profile information (e.g., name/email).
  • Payment processors: payment status and limited billing information (we generally do not receive or store full payment card numbers).
  • Integrations you connect: data you authorize those integrations to share with Intervool.

4) Eligibility

We use information to:
  • Provide and operate the Services: create and manage accounts/workspaces; store, process, and display Customer Content; enable collaboration.
  • Operate AI features: generate summaries, extract information, cluster insights into themes, suggest structured learning goals, and draft content (including outreach drafts).
  • Improve and secure the Services: analytics, debugging, quality assurance, product improvement, fraud prevention, and enforcement of our Terms.
  • Support: respond to requests and troubleshoot issues.
  • Communications: send service-related messages (security, billing, support, and product notices). If you opt in, we may send marketing or product update emails.

5) AI processing and model improvement (with opt-out)

Intervool uses AI to process Customer Content to provide AI-driven features (for example: summarization, extraction, clustering into themes, learning goal structuring, and drafting suggestions).
Model improvement. We may use Customer Content (including prompts and AI outputs) to develop, evaluate, and improve the Services and AI features, including improving models and systems.
Opt-out. Workspace admins may opt out of using their Workspace’s Customer Content for model improvement via in-app settings (if available) or by contacting us at jess@intervool.com. After opt-out, we will not use new Customer Content from that Workspace for model improvement going forward. We may still:
  • process Customer Content to provide requested features,
  • use aggregated and/or de-identified data where feasible, and
  • retain prior training artifacts to the extent it is not technically feasible to remove the influence of prior data from already-trained systems.

6) How we share information

We share information only as necessary to operate Intervool:
A) Service providers (subprocessors)
We use vendors to help provide and operate the Services (for example: hosting, databases, customer support tools, analytics, session replay/debugging, payment processing, and AI infrastructure). These vendors process information on our behalf under contractual obligations to protect it and use it only to provide services to us.
B) Within your Workspace
Information (including Customer Content and account/workspace details) may be visible to other Workspace users depending on roles, permissions, and sharing actions.
C) Legal, safety, and compliance
We may disclose information if we believe it is reasonably necessary to:
  • comply with law or valid legal process,
  • protect the rights, safety, or security of Intervool, our users, or the public,
  • enforce our Terms, or
  • detect/prevent fraud and abuse.
D) Business transfers
If we are involved in a merger, acquisition, reorganization, or sale of assets, information may be transferred as part of that transaction.

E)
Aggregated / de-identified information
We may create and use aggregated or de-identified information (for example, usage statistics) for product improvement and operational purposes. We do not attempt to re-identify de-identified information except as permitted by law.

7) Data retention

We retain personal information and Customer Content for as long as reasonably necessary to:
  • provide the Services,
  • comply with legal/accounting/security requirements, and
  • resolve disputes and enforce agreements.
If you delete your account or a Workspace requests deletion, we delete or de-identify information from active systems within a reasonable period, subject to backups, security logs, and legal requirements.

8) Cookies, analytics, and session replay

We use cookies and similar technologies for essential functionality and analytics/product improvement.
A) Essential cookies
Used for authentication, session management, and core product functionality.
B) Analytics & product usage tools
We use:
  • Google Analytics (Sites and Services): helps us understand traffic and usage patterns (e.g., pages visited, interactions, device/browser information).
  • Pendo (Services only): helps us understand feature usage, user flows, and improve onboarding/product experience.
  • LogRocket (Services only): helps diagnose issues and improve performance through technical telemetry and session replay.
Session replay notice (Services). Session replay may capture user interactions such as clicks, navigation, mouse movements, and page activity. We aim to sanitize/mask sensitive fields where feasible and encourage users not to input sensitive data into the Services.
C) Your choices
You can control cookies via browser settings. Disabling cookies may affect some features.
D) Cookie consent where required
Where required by law, we will request consent for non-essential cookies.
E) Do Not Track
Some browsers offer a “Do Not Track” signal. At this time, we do not respond to “Do Not Track” signals.

9) Security

We use commercially reasonable safeguards designed to protect information. However, no system is 100% secure, and we cannot guarantee absolute security.

10) International data transfers

We are based in the United States. If you access the Services from outside the U.S., your information may be processed and stored in the U.S. and other countries where we or our service providers operate.

11) Your choices

  • Account/profile: you may be able to update certain account details in the Services.
  • Marketing emails: you can opt out via the unsubscribe link or by contacting us.
  • AI model improvement opt-out: Workspace admins can opt out as described in Section 5.
  • Cookies: manage via browser settings.

12) California privacy rights (CCPA/CPRA)

If you are a California resident, you may have rights under the CCPA/CPRA, including the right to:
  • Know/access the personal information we collect, use, and disclose,
  • Delete personal information (subject to legal exceptions),
  • Correct inaccurate personal information,
  • Opt out of the sale or sharing of personal information (if applicable),
  • Limit the use and disclosure of sensitive personal information (if applicable), and
  • Non-discrimination for exercising your rights.
How to submit a request: Email jess@intervool.com with the subject “California Privacy Request.” We will verify your request (which may require confirming account access). You may use an authorized agent; we may require proof of authorization.
Sale / Sharing (cross-context behavioral advertising): We do not sell personal information in the traditional sense. We do not share personal information for cross-context behavioral advertising as our business model. If this changes, we will update this policy and provide an opt-out method as required.
Global Privacy Control (GPC): If we are required to treat a valid GPC signal as an opt-out of sale/sharing, we will do so.
(c) prevent fraud, detect abuse, and enforce this Agreement; and

14) Subprocessors

We use third-party service providers (“subprocessors”) to operate the Services. Key categories include cloud hosting, databases, analytics, product telemetry, session replay, payment processing, and AI infrastructure.
At this time, our analytics/session replay providers include:
  • Google Analytics (Sites and Services)
  • Pendo (Services only)
  • LogRocket (Services only)
We maintain a list of subprocessors and can provide it upon request at jess@intervool.com.

15) Changes to this policy

We may update this Privacy Policy from time to time. If changes are material, we will provide notice (for example, in the Services/Sites or by email). Continued use after the effective date means you accept the updated policy.
